How Much Time Do I Allocate to my Tasks?
When we first start planning one of the hardest aspects of planning can be knowing how much time to allocate to a task.
Finding the balance between optimism and realism in time estimation can be an art and significantly impact your productivity and business growth. When you are able to estimate realistically you make it easier to prioritise your work, set realistic deadlines and plan for contingencies.
So, let’s explore some tips to help sharpen your time estimation skills and uncover common obstacles that might hinder your planning process.
1. Break Down Tasks: Divide complex projects into smaller, manageable tasks. Estimate the time required for each sub-task, and then tally them up for a more accurate overall estimation of the project.
This is time well invested and will pay dividends in creating an easy-to-follow, manageable schedule.
2. Consider Your Past Experience: Review similar tasks you've completed in the past. Reflect on how long they took and use that information to estimate future similar tasks.
3. Use Time Tracking Tools: If you want to get really accurate measures, then consider using a time tracking tool or app to monitor how much time you spend on different activities. This data can serve as a valuable reference for future time estimation.
4. Factor in Learning and Transition Time: When working on new tasks or projects, consider the time needed for learning, research, and transitioning between different activities.
This is often overlooked and results in us creating unrealistic schedules for deliverables. And, when we don’t meet those expectations we criticise ourselves and feel lousy which makes it harder to keep working.
5. Involve Others: If you're unsure about time estimates, consult with colleagues, mentors, or other experts in your field. Their insights can provide valuable perspectives.
Yes, you’re a solopreneur but that doesn’t mean you’re on your own. Find a supportive group where you can hang out and bounce ideas around.
Then get to work and do it. Review your plan at the end of each day or week and learn from it to help enhance your planning skills.
Time estimation may never be perfect and that’s okay. It’s a skill that you can refine over time using your experiences to learn and adjust.
